Appointment Notes

Record clinical details after each treatment for compliance and continuity of care.


Why Notes Matter

  • UK Legal Requirement: Must document all aesthetic treatments
  • Insurance: Required for claims and liability protection
  • Continuity: Remember what was done for follow-ups
  • GDPR: Clients can request their treatment records

Adding Clinical Notes

  1. Open completed appointment (click on calendar)
  2. Click 'Clinical Notes' tab
  3. Record treatment details
  4. Save

What to Record

Pre-Treatment:

  • Medical history reviewed (Yes/No)
  • Allergies checked
  • Consent form signed

Treatment Details:

  • Products used (brand, batch number, amount)
  • Treatment areas
  • Injection sites (for injectables)

Client Response:

  • Tolerance during procedure
  • Any adverse reactions
  • Immediate results

Post-Treatment:

  • Advice given
  • Follow-up scheduled

Adding Photos

Before/after photos help track progress and demonstrate results.

  1. Open appointment
  2. Click 'Photos' tab
  3. Upload photos (Before / After / Follow-Up)
  4. Add caption (optional)

Consent: Always get written consent before taking photos.


Voice Recording

Record voice notes during or after treatment — they're automatically transcribed.

  1. Click the microphone icon
  2. Speak your notes
  3. AI transcribes to text
  4. Edit and save

UK Documentation Requirements

For injectables, always record:

  • Medical history reviewed
  • Consent obtained
  • Products used (brand, batch, expiry)
  • Amount/dosage
  • Injection sites
  • Adverse events (even if none)
  • Post-treatment advice provided

Retention: Keep records minimum 7 years.
