- Medical practitioners and staff
- Administrators and support personnel
- Any authorized users of clinic accounts
2. Service Description
Aestheticc is a comprehensive practice management platform designed specifically for aesthetic clinics in the United Kingdom. Our Service includes:
- Appointment Management: Online booking, scheduling, and calendar management
- Client Management: Secure storage of client records and treatment history
- Digital Forms: Electronic consent forms and medical history documentation
- Marketing Tools: AI-powered content generation and social media management
- Business Analytics: Performance tracking and reporting features
- Communication Tools: SMS reminders and client messaging
3. Eligibility and Registration
3.1 Business Requirements
To use Aestheticc, you must:
- Operate a legitimate aesthetic clinic or medical practice
- Be registered with relevant UK regulatory bodies (e.g., CQC where applicable)
- Have appropriate insurance and licenses for aesthetic treatments
- Be at least 18 years of age
3.2 Practitioner Requirements
Medical practitioners using the Service must:
- Hold valid UK medical qualifications and registrations
- Maintain appropriate professional indemnity insurance
- Comply with all relevant professional standards and guidelines
3.3 Accurate Information
You agree to provide accurate, current, and complete information during registration and to update such information to keep it accurate, current, and complete.
4. Account Terms
4.1 Account Security
You are responsible for:
- Maintaining the confidentiality of your account credentials
- All activities that occur under your account
- Immediately notifying us of any unauthorized use
- Ensuring all users have appropriate authorization
4.2 Account Restrictions
You may not:
- Share login credentials with unauthorized parties
- Use another clinic's account without permission
- Create multiple accounts for the same clinic without authorization
- Transfer or sell your account to another party
4.3 Staff Accounts
As the primary account holder, you are responsible for managing staff access and ensuring all users comply with these Terms and applicable laws.
5. Prohibited Uses
You agree not to use the Service to:
- Violate any laws, regulations, or professional standards
- Store or transmit unlawful, defamatory, or harmful content
- Infringe upon intellectual property rights
- Attempt to gain unauthorized access to any systems
- Interfere with or disrupt the Service or servers
- Use automated systems or software to extract data
- Transmit viruses, malware, or harmful code
- Engage in any activity that could damage our reputation
- Misrepresent your identity or affiliation
- Use the Service for any illegal medical practices
6. Payment Terms
6.1 Subscription Fees
- All fees are quoted in British Pounds Sterling (GBP)
- Subscription fees are billed monthly or annually in advance
- Prices are subject to change with 30 days notice
- All fees are exclusive of VAT where applicable
6.2 Payment Methods
We accept:
- Credit and debit cards (Visa, Mastercard, American Express)
- Direct debit (for UK bank accounts)
- Bank transfers (for annual plans)
6.3 Failed Payments
If payment fails, we will retry the charge up to 3 times over 7 days. Continued payment failure may result in account suspension until payment is received.
6.4 Refund Policy
- Monthly subscriptions: No refunds for partial months
- Annual subscriptions: Pro-rata refund within first 30 days
- Setup fees and training: Non-refundable
7. Cancellation and Termination
7.1 Customer Cancellation
You may cancel your subscription at any time by:
- Using the cancellation option in your account settings
- Contacting our support team
- Providing 30 days written notice for annual plans
7.2 Effect of Cancellation
- Access continues until the end of the current billing period
- No refunds for unused time on monthly plans
- Data export available for 30 days post-cancellation
- After 30 days, all data will be permanently deleted
7.3 Our Right to Terminate
We may terminate or suspend your account immediately if:
- You breach these Terms
- You fail to pay fees when due
- We suspect fraudulent or illegal activity
- Required by law or regulatory order
8. Intellectual Property Rights
8.1 Our Property
The Service and its original content, features, and functionality are owned by Aestheticc Ltd and are protected by international copyright, trademark, and other intellectual property laws.
8.2 Your Content
You retain all rights to content you upload to the Service. By uploading content, you grant us a license to:
- Store, process, and display your content within the Service
- Make backups to prevent data loss
- Provide the Service to you and your authorized users
8.3 Feedback
Any feedback, suggestions, or ideas you provide may be used by us without any obligation to compensate you.
8.4 AI-Generated Content
Content generated using our AI tools is provided for your use within the Service. You are responsible for reviewing and approving all AI-generated content before use.
9. Privacy and Data Protection
Your use of the Service is also governed by our Privacy Policy. Please review our Privacy Policy, which explains how we collect, use, and protect your information.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, AESTHETICC SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO:
- Loss of profits or revenue
- Loss of data or business information
- Business interruption
- Personal injury related to Service use
- Medical malpractice claims
10.3 Maximum Liability
Our total liability shall not exceed the amount paid by you for the Service in the 12 months preceding the event giving rise to liability.
11. Indemnification
You agree to defend, indemnify, and hold harmless Aestheticc, its officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including legal fees) arising from:
- Your use of the Service
- Your violation of these Terms
- Your violation of any rights of another party
- Medical treatments provided by your clinic
- Content you post or transmit through the Service
- Your violation of any applicable laws or regulations
12. Termination
12.1 Termination by You
You may terminate your account at any time through the account settings or by contacting support.
12.2 Termination by Us
We may terminate or suspend your account immediately, without prior notice, for:
- Breach of Terms
- Non-payment
- Illegal activities
- Providing false information
- Extended period of inactivity
12.3 Effect of Termination
Upon termination:
- Your right to use the Service ceases immediately
- You remain liable for any outstanding fees
- We may delete your data after the retention period
- Provisions that should survive termination will remain in effect
13. Governing Law and Disputes

These Terms are governed by the laws of England and Wales, without regard to conflict of law principles.

We reserve the right to modify these Terms at any time. We will notify you of material changes via email or Service notification at least 30 days before they take effect.
14.3 Severability
If any provision of these Terms is found unenforceable, the remaining provisions will continue in effect.
14.4 Waiver
Our failure to enforce any right or provision shall not be considered a waiver of those rights.
14.5 Assignment
You may not assign or transfer these Terms without our prior written consent. We may assign our rights under these Terms without restriction.
