Batch Tracking
Record product batch numbers for every injectable treatment. This is a UK legal requirement.
Why Batch Tracking Matters
- MHRA Regulation: All injectable aesthetic products must have batch tracking
- Product Recalls: Quickly identify affected clients if a batch is recalled
- Insurance: Required for professional indemnity claims
- Fines: Up to £5,000+ for non-compliance
What Products Need Tracking?
Must Track (UK Law):
- Botulinum Toxin (Botox, Azzalure, Bocouture, etc.)
- Dermal Fillers (Juvederm, Restylane, Belotero, etc.)
- Mesotherapy products
- Vitamin injections
Not Required:
- Retail skincare
- Non-medical consumables
Adding Batch Products to Inventory
Before tracking usage, add your products:
- Navigate to Inventory → Batch Products
- Click 'Add New Batch'
- Fill details:
- Product name and brand
- Batch number (from packaging)
- Expiry date
- Units received
- Save
Recording Batch Usage
After treatment:
- Open the appointment
- Click 'Batch Usage' tab
- Click 'Record Batch Usage'
- Select product from dropdown
- Enter amount used (units or mL)
- Add injection sites
- Save
Stock levels update automatically.
Multiple Products in One Treatment
For combination treatments (e.g., Botox + Filler):
- Record first product, save
- Click 'Add Another Product'
- Record second product, save
Both products are now tracked for this appointment.
Stock Alerts
The system alerts you when:
- Low stock: Less than 20% remaining
- Expiring soon: 30 days before expiry
Check alerts in Inventory → Batch Products.
Product Recalls
If a manufacturer recalls a batch:
- Go to Inventory → Batch Products
- Find the recalled batch
- Click 'View Usage History'
- System shows all clients who received this batch
- Contact affected clients
Record Retention
Keep batch records for minimum 7 years (UK law). Aestheticc stores them permanently.
