Client Profiles

A client profile is the single record for everything you know about a client — their contact details, appointment history, treatment records, medical information, photos, and financials. Open any profile from Clients by clicking the client's name.

What a Profile Contains

• Contact details — name, email, phone, date of birth, address, private notes
• Appointment history — all past and upcoming appointments with status and quick links
• Treatment history — treatments received, dates, frequencies, total revenue
• Medical information — allergies, medications, previous procedures, contraindications
• Photo timeline — before/after and progress photos, linked to appointments
• Financial overview — total spend, outstanding balances, payment history, loyalty status

Editing Basic Information

Click Edit (top right of the profile), update any contact fields, then click Save Changes. Notes are private — visible only to your team.

Tips

Keep profiles complete. Email and phone enable automated appointment reminders. Date of birth enables birthday promotions. Medical history is a clinical safety requirement — not optional.

Use notes to build rapport. Record treatment preferences ("prefers numbing cream"), scheduling constraints, and personal details that make clients feel remembered. These compound over time.

GDPR. Clients can request their data or deletion at any time. Only record information they've consented to share. All data is encrypted and accessible only to your team.

Common Questions

Can I delete a client? Yes, but deletion is permanent — all associated appointments and history are removed. Consider marking the client inactive instead if you may need the history later.

How do I merge duplicate clients? Contact support@aestheti.cc and we'll merge the records for you.
