Content Calendar

Quick Reference: Visual calendar for planning and scheduling social media posts

What is Content Calendar?

Definition

The Content Calendar is a visual planning tool that displays your social media posts, blog articles, and marketing content on a calendar interface, allowing you to schedule, organize, and track all content in one place.

Purpose

  • Plan Ahead: Schedule content weeks or months in advance
  • Consistency: Never miss a posting deadline with visual planning
  • Organization: See entire content strategy at a glance
  • Collaboration: Team members coordinate posting schedules (team accounts)
  • Analytics: Track posting frequency and content type distribution

Calendar Views

Month View (Default)

Layout: Traditional calendar grid showing 4-5 weeks

Display:

  • Each day shows small thumbnails of scheduled posts
  • Color-coded by content type:
    • 🟦 Blue: Educational content
    • 🟩 Green: Promotional posts
    • 🟪 Purple: Testimonials/before-after
    • 🟨 Yellow: Practice highlights
  • Post count indicator (e.g., "3 posts scheduled")
  • Today highlighted with border

Best For: Long-term planning, overview of monthly strategy

Navigation:

  • ā¬…ļø Previous Month button
  • Today button (jumps to current date)
  • Next Month āž”ļø button
  • Month/Year dropdown selector

Week View

Layout: 7-day horizontal timeline with hourly slots

Display:

  • Each day column divided into time slots (morning, afternoon, evening)
  • Post cards show full title + thumbnail
  • Scheduled time visible (e.g., "10:00 AM")
  • Platform icons (Instagram, Facebook, LinkedIn)

Best For: Detailed weekly planning, specific timing coordination

Use Cases:

  • Plan optimal posting times
  • Avoid double-posting same content
  • Coordinate multi-platform launches

Day View

Layout: Single day with chronological post timeline

Display:

  • All posts for selected day in order
  • Full post preview (title, image, caption excerpt)
  • Scheduled time
  • Publishing status (draft, scheduled, published)
  • Edit/delete actions

Best For: Finalizing daily content, making last-minute adjustments


Scheduling Posts

Method 1: Quick Schedule from Content Generation

From Social Media Content Generator:

  1. Generate AI content using Content Studio
  2. Click Schedule button on generated content
  3. Calendar modal opens
  4. Select date and time
  5. Choose platform(s): Instagram, Facebook, LinkedIn, Twitter
  6. Click Schedule Post

Result: Post appears on Content Calendar at selected date/time


Method 2: Manual Calendar Entry

From Content Calendar:

  1. Click empty date on calendar
  2. "New Post" dialog opens
  3. Fill in fields:
    • Title: Internal reference (e.g., "Botox educational post")
    • Content: Post caption/body
    • Platform: Select one or more
    • Media: Upload image or select from Image Packs
    • Scheduled Time: Date picker + time selector
    • Status: Draft or Scheduled
  4. Click Save

Result: Post added to calendar


Method 3: Drag-and-Drop Reschedule

Move Existing Post:

  1. Click and hold post card on calendar
  2. Drag to new date
  3. Release to drop
  4. Time picker appears (choose new time)
  5. Click Confirm

Result: Post rescheduled, no content changes

Mobile Version: Tap post → Edit → Change date → Save


Post Management

Post Status

4 Status Types:

Editing Posts

How to Edit:

  1. Click post card on calendar
  2. Post details modal opens
  3. Edit any field:
    • Title
    • Content/caption
    • Media/image
    • Scheduled time
    • Platform
  4. Click Save Changes

Changes Reflected Immediately: Calendar updates in real-time


Deleting Posts

Single Post Deletion:

  1. Click post card
  2. Click Delete button (trash icon)
  3. Confirm deletion warning: "Are you sure?"
  4. Post removed from calendar

āš ļø Note: Published posts remain on social media platforms even if deleted from calendar. Calendar only tracks planning, not platform management.


Duplicating Posts

Reuse Content for Different Platforms:

  1. Click post card
  2. Click Duplicate button
  3. Edit platform selection (e.g., original = Instagram, duplicate = Facebook)
  4. Adjust content for platform (e.g., add more text for Facebook)
  5. Save as separate post

Use Case: Same content, different platforms, different posting times


Content Organization

Filtering

Filter by Platform:

  • All Platforms (default)
  • Instagram Only
  • Facebook Only
  • LinkedIn Only
  • Twitter/X Only

Filter by Content Type:

  • All Types
  • Educational
  • Promotional
  • Testimonials
  • Practice Highlights
  • Events/Announcements

Filter by Status:

  • All Statuses
  • Drafts Only
  • Scheduled Only
  • Published Only

Combined Filters: "Show Instagram Educational Posts (Scheduled status)"


Color Coding

Default Color Scheme:

  • 🟦 Blue: Educational (How Botox works, treatment explanations)
  • 🟩 Green: Promotional (Special offers, discounts, limited-time)
  • 🟪 Purple: Testimonials/Results (Before/after, client stories)
  • 🟨 Yellow: Practice Highlights (Team intros, behind-scenes, facility tours)
  • 🟧 Orange: Events/Announcements (Open house, new service launches)

Customize Colors (Coming Soon): Currently fixed colors. Future release will allow custom color per content type.


Search

Search Posts:

  • Search bar filters by title or content keywords
  • Example: Search "Botox" shows all posts mentioning Botox
  • Real-time filtering as you type

Publishing Workflow

Current: Manual Posting with Reminders

How It Works:

  1. Schedule posts on Content Calendar
  2. Set reminder notification (email or push notification)
  3. On scheduled date/time, you receive reminder
  4. Manually copy content from calendar
  5. Post to Instagram/Facebook/etc. yourself

Why Manual?:

  • Social media platform API restrictions (Instagram doesn't allow third-party auto-posting without Business Account + Facebook Page)
  • More control over final posting moment
  • Review content one last time before posting

Reminder Settings:

  • Email reminder: 15 min before scheduled time
  • Push notification (mobile app): 15 min before
  • SMS reminder (coming soon): 10 min before

Future: Auto-Posting (Coming Soon)

Planned Features:

  • Direct Instagram posting (requires Instagram Business + Facebook Page connection)
  • Auto-publish to Facebook Page
  • LinkedIn auto-posting
  • Twitter/X auto-posting

Q: Does Content Calendar auto-post to Instagram/Facebook? A: Not yet. Currently, calendar sends reminders and you manually post. Auto-posting planned for Q2 2025.

Q: Can I import existing social media posts into calendar? A: Not currently. Calendar tracks only posts created/scheduled within Aestheticc. Social media integration planned for future.

Q: What happens if I miss a scheduled posting time? A: Post status changes to "Overdue" with red indicator. You can still post manually (just late) or reschedule to new time.

Q: Can I schedule posts more than 3 months in advance? A: Yes! No time limit. Schedule holiday campaigns 6 months in advance if desired.

Q: Can I see analytics for published posts? A: Not yet. Currently calendar is for planning/scheduling only. Analytics integration (engagement rates, reach, clicks) planned for Q3 2025.

Q: Can multiple team members see the same calendar? A: Yes (team accounts feature). All team members with "Admin" or "Staff" roles see shared calendar. Post assignments coming soon.

Q: Can I export calendar as PDF or iCal? A: Coming soon! Export planned for print calendar view and iCal sync with Google Calendar/Outlook.

Q: What if I schedule two posts for the same time? A: Calendar allows it (you might intentionally post to Instagram + Facebook simultaneously). Future auto-posting feature will stagger by 15 min automatically.

Q: Can I duplicate an entire week of content? A: Not currently. You can duplicate individual posts. Batch duplication planned for future release.

Q: Does calendar sync with my Google Calendar? A: Not yet. iCal export/sync planned to allow Aestheticc posts to appear in Google Calendar, Outlook, Apple Calendar.
