Waitlist

The waitlist helps you fill last-minute cancellations by tracking clients who want specific time slots.


How It Works

  1. Client wants a time slot that's already booked
  2. Add them to the waitlist for that slot
  3. If the appointment cancels, contact waitlist clients
  4. First responder gets the slot

Adding to Waitlist

When booking:

  1. Create appointment as normal
  2. Set Status to 'Waitlist' instead of 'Scheduled'
  3. Save

The client is now on the waitlist for that time slot.


Viewing the Waitlist

Navigate to: Appointments → Waitlist

You'll see:

  • All clients on waitlist
  • Requested date/time
  • Date they joined (priority order)
  • Contact info

When an Appointment Cancels

  1. Cancel the appointment
  2. Check waitlist for that time slot
  3. Contact first client on list (call or SMS)
  4. If they accept, book them in
  5. If they decline, contact next client

Tip: Contact waitlist within 30-60 minutes of cancellation for best results.


Prioritisation

Waitlist is first-come-first-served by default. The client who joined earliest gets first offer.


Removing from Waitlist

If a client no longer needs the slot:

  1. Find their waitlist entry
  2. Click 'Remove from Waitlist'
  3. Confirm

FAQ

Do waitlist appointments block calendar slots? No. Waitlist entries are "hopeful" bookings — only confirmed appointments block slots.

How long should someone stay on waitlist? Leave them indefinitely unless they ask to be removed.
