Voice Receptionist

The Voice Receptionist answers your clinic phone, holds a natural conversation with the caller, checks your live calendar, and books real appointments — all without any staff involvement. It runs 24/7 and hands off to a human instantly when needed.


How It Works

When a client calls your Twilio number, the AI receptionist answers using low-latency streaming speech (Twilio ConversationRelay). It understands natural language — not commands or menu choices — so callers can speak normally.

During the call it can:

  • Answer questions about your clinic and treatments
  • Check your real-time calendar availability
  • Book, confirm, or take a message for an appointment
  • Transfer to a human at any point (caller presses 0, or the AI initiates it)

If the voice receptionist is off or a call fails, the caller automatically receives an SMS with your booking link instead.


Setup

Navigate to: Settings → Voice Receptionist

You'll need a Twilio account with a UK phone number. Point that number's Voice webhook at your Aestheticc workspace URL — the settings page shows the exact webhook URL to paste into Twilio.

Key settings:

Transfer to Human

Two transfer modes:

  • Caller-initiated: Caller presses 0 at any point to reach a human
  • AI-initiated: After 3 low-confidence utterances (misunderstandings), the AI offers to transfer automatically

The transfer phone number is configured separately from your main clinic number, so you can route to a mobile or different line.


Call Analytics

The dashboard header shows live stats for your receptionist:

  • Total calls — all-time call count
  • Calls this week — volume since Monday
  • Bookings this week — calls that ended with a completed booking
  • Booking rate — bookings as a percentage of calls this week
  • Avg duration — average call length across all completed calls
  • Revenue — £ value of appointments booked via voice (week / month / all-time)

Competitor Landscape

No other UK clinic software has shipped this. Fresha announced an AI receptionist for 2026 but has not shipped it. Phorest has a text-based chatbot, not voice. Most others have nothing. This is a genuine differentiator.
