Payment Reminders

Send a payment reminder to a client who has an outstanding balance. Reminders go out via both SMS and email at the same time — so the client sees it wherever they check first.

Sending a Reminder

1. Open the client's appointment or payment record
2. Click Send Reminder
3. The reminder is sent immediately via both channels

A toast notification confirms which channels succeeded (e.g., "Reminder sent via SMS & email").

What the Client Receives

SMS

A short text message with the amount owed and a payment link. The link opens a Stripe-hosted checkout page where the client can pay by card, Apple Pay, Google Pay, or Klarna.

SMS is only sent if the business has Twilio configured and the sendSms flag is enabled.

Email

A branded HTML email that includes:

• Your business name and logo
• An itemised list of what's owed
• The total amount
• A Pay Now button linking to the payment page

Email is sent automatically whenever the client has an email address on file — no extra setup required.

Channel Behaviour

Both channels fire in parallel. If one fails, the other still sends.

Fees

Payment reminder links use the same payment processing as regular payment links:

Cooldown

To prevent accidentally spamming a client, there is a 2-minute cooldown between reminders to the same client. If you try to send again within 2 minutes, the system blocks the duplicate.
